How Does Time Tracking Work For Your Remote Worker

How Does Time Tracking Work for Remote Workers?

How we track hours, and how to access, read, and monitor your worker’s time logs through your dashboard.

Hiring a remote worker is a game-changer—but how do you make sure the hours you're paying for are actually being worked? That’s where our real-time time tracking system comes in.

Using the Time Tracking View in Your Client Dashboard

Welcome to your Client Dashboard—this is your mission control for tracking your remote worker’s hours, reviewing their work sessions, and staying on top of your billing. You can sort by all workers or a specific worker.

Let’s walk through everything you’ll see (and can do!) inside the Time Tracking View, step by step.

🔹 At a Glance: Totals Overview

At the top of the Time Tracking page, you’ll see a bar chart-style overview showing total activity for the worker and date range you selected.

You can toggle between:

🕒 Hours Used View
This shows you the total time your worker(s) logged during the selected period.

💵 Billable Amount View

Prefer to track spending instead of hours? No problem—just switch to this view and you’ll see the total amount charged instead.

📅 Daily Breakdown View

Right below the totals, you’ll see a breakdown by day of the week across the selected range. It might look something like this:

If you’re on Hours View, it shows the hours worked.

If you’re on Billable Amount View, it shows the charges instead.

This gives you a clear snapshot of when your remote worker was active (and when they weren’t).

🔍 Digging Into Individual Time Logs

Scroll down and you’ll see detailed work log entries for each tracked session.

Each entry includes:

  • ⏱️ Duration: Exactly how long your worker clocked in (e.g., 2:15:00 hrs), and the start/end times

  • 💰 Billable Amount: The exact charge for that work session

  • 📝 Task Details: A short description your worker added, such as "Edited blog content" or "Managed IG inbox"

  • 📌 Log Status: Whether the charge is Paid or still Pending

  • ✅ Worker Status: Whether your worker is currently Active or Inactive

🔎 Search Function: Find What You Need Fast

Need to locate time spent on a specific project? Use the Search Bar at the top of the logs section. Just type in a keyword like:

🎁 Give a Bonus

Want to reward your remote worker for a job well done? You can do that right from this same view. You'll see three dots (...) next to a specific log. Click Just click the "Give Bonus" option and enter the amount you’d like to send.

❗ Need Help with a Time Entry? Here's How to Report It

If something looks off with a specific charge, click the three dots (...) next to the specific charge, and “Help with this Charge”

We strongly recommend you first chat with your remote worker directly—many issues can be cleared up with a quick conversation.

If you’ve already spoken with them and still have concerns, go ahead and:

  1. Leave a message to us in the box that appears.

  1. If you want your remote worker to stop logging hours immediately, make sure you tick the “Pause Worker” checkbox.

This will generate a report that is automatically sent to our support team. You’ll be able to leave a message explaining the issue, and we’ll respond within 24 hours. This feature is designed to help resolve any misunderstandings or potential errors quickly and clearly—just make sure to include as much context as possible when submitting your concern.

⚠️ Important: If you don’t tick that box, we won’t know you want the worker paused—and they can continue logging time. Always tick it if you want to pause activity.

🧾 Billing Note

Just a heads-up: all charges that exceed your deposit will trigger an automatic payment.

Let’s say you made an $80 deposit when you hired your worker. We’ll automatically bill your card on file any time your pending charges go over that $80. So if your remote worker logs enough hours to exceed your deposit, we’ll charge the difference.

A Quick Note on Oversight

In the beginning, we recommend checking in daily. Not because we expect anything to go wrong, but because it helps you get familiar with your worker’s rhythm and workload.

We rarely encounter issues with over-logged hours. That said, you're the one managing your worker—checking their progress, training them, and making sure everything flows. If anything seems off, the first step is always to hop on a Zoom or Meet call and talk things through with your remote worker.

Still have concerns after the conversation? You can always reach out to us at hello@eqeepo.com. But please let us know as soon as possible—it's a lot easier to review recently logged hours than to investigate things from weeks ago.

You’re in Control

This dashboard is here to help you stay informed, in control, and confident. You can check it daily, weekly, or whenever works for your workflow—but everything you need is here.
