How Does Time Tracking Work for Remote Workers?
How we track hours, and how to access, read, and monitor your workerâs time logs through your dashboard.
Hiring a remote worker is a game-changerâbut how do you make sure the hours you're paying for are actually being worked? Thatâs where our real-time time tracking system comes in.
Using the Time Tracking View in Your Client Dashboard
Welcome to your Client Dashboardâthis is your mission control for tracking your remote workerâs hours, reviewing their work sessions, and staying on top of your billing. You can sort by all workers or a specific worker.
Letâs walk through everything youâll see (and can do!) inside the Time Tracking View, step by step.
đš At a Glance: Totals Overview
At the top of the Time Tracking page, youâll see a bar chart-style overview showing total activity for the worker and date range you selected.
You can toggle between:
đ Hours Used View
This shows you the total time your worker(s) logged during the selected period.
đľ Billable Amount View
Prefer to track spending instead of hours? No problemâjust switch to this view and youâll see the total amount charged instead.
đ
Daily Breakdown View
Right below the totals, youâll see a breakdown by day of the week across the selected range. It might look something like this:
If youâre on Hours View, it shows the hours worked.
If youâre on Billable Amount View, it shows the charges instead.
This gives you a clear snapshot of when your remote worker was active (and when they werenât).
đ Digging Into Individual Time Logs
Scroll down and youâll see detailed work log entries for each tracked session.Â
Each entry includes:
âąď¸ Duration: Exactly how long your worker clocked in (e.g., 2:15:00 hrs), and the start/end times
đ° Billable Amount: The exact charge for that work session
đ Task Details: A short description your worker added, such as "Edited blog content" or "Managed IG inbox"
đ Log Status: Whether the charge is Paid or still Pending
â Worker Status: Whether your worker is currently Active or Inactive
đ Search Function: Find What You Need Fast
Need to locate time spent on a specific project? Use the Search Bar at the top of the logs section. Just type in a keyword like:
đ Give a Bonus
Want to reward your remote worker for a job well done? You can do that right from this same view. You'll see three dots (...) next to a specific log. Click Just click the "Give Bonus" option and enter the amount youâd like to send.
â Need Help with a Time Entry? Here's How to Report It
If something looks off with a specific charge, click the three dots (...) next to the specific charge, and âHelp with this Chargeâ
We strongly recommend you first chat with your remote worker directlyâmany issues can be cleared up with a quick conversation.
If youâve already spoken with them and still have concerns, go ahead and:
Leave a message to us in the box that appears.
If you want your remote worker to stop logging hours immediately, make sure you tick the âPause Workerâ checkbox.
This will generate a report that is automatically sent to our support team. Youâll be able to leave a message explaining the issue, and weâll respond within 24 hours. This feature is designed to help resolve any misunderstandings or potential errors quickly and clearlyâjust make sure to include as much context as possible when submitting your concern.
â ď¸ Important: If you donât tick that box, we wonât know you want the worker pausedâand they can continue logging time. Always tick it if you want to pause activity.
𧞠Billing Note
Just a heads-up: all charges that exceed your deposit will trigger an automatic payment.Â
Letâs say you made an $80 deposit when you hired your worker. Weâll automatically bill your card on file any time your pending charges go over that $80. So if your remote worker logs enough hours to exceed your deposit, weâll charge the difference.
A Quick Note on Oversight
In the beginning, we recommend checking in daily. Not because we expect anything to go wrong, but because it helps you get familiar with your workerâs rhythm and workload.
We rarely encounter issues with over-logged hours. That said, you're the one managing your workerâchecking their progress, training them, and making sure everything flows. If anything seems off, the first step is always to hop on a Zoom or Meet call and talk things through with your remote worker.
Still have concerns after the conversation? You can always reach out to us at hello@eqeepo.com. But please let us know as soon as possibleâit's a lot easier to review recently logged hours than to investigate things from weeks ago.
Youâre in Control
This dashboard is here to help you stay informed, in control, and confident. You can check it daily, weekly, or whenever works for your workflowâbut everything you need is here.
